1. Who We Are
AI Academy PH is the training and certification arm of Coaching Masterminds Group ("we", "us", "our"). For all privacy matters, we act as the Personal Information Controller for the data you submit through this website. You may reach our privacy contact at Hello@cmgofficial.com.
2. Personal Data We Collect
When you register for a program, we collect only what enrollment requires:
- Identity and contact details: full name, complete address, mobile number, email address.
- Enrollment profile: whether you are enrolling as a business owner, professional or student, and the related details you provide (business name, industry, area for improvement, profession, skill goals, school, year level, and course or program).
- Program selection: the course or courses you choose to enroll in.
- Payment verification details: the payment method you used and the reference number from your bank or e-wallet receipt. We never collect or store your card numbers, banking passwords, OTPs or e-wallet credentials.
- Consent record: the fact and timestamp of your data privacy consent.
3. Purpose of Collection
We process your personal data solely for the following declared purposes:
- Processing and verifying your enrollment, including validating your payment reference.
- Issuing your Student ID and program access credentials.
- Communicating with you about your class schedule, program materials, certification and related administrative matters.
- Program administration, learner records, and issuing certificates of completion.
- Complying with legal, tax, audit and regulatory obligations.
We do not sell, rent or trade your personal data. We do not use your enrollment data for unrelated third-party marketing.
4. Legal Basis
We rely on your explicit consent, given at the point of registration, and on the necessity of processing to fulfil our contractual obligations to you as a learner, as permitted under Sections 12 and 13 of RA 10173.
5. Disclosure and Sharing
Access to your data is limited to authorised personnel of Coaching Masterminds Group and to service providers who help us operate — for example our secure database hosting and our transactional email provider. These providers process data strictly on our instructions and under confidentiality obligations. We may disclose data where compelled by a lawful order of a competent authority.
6. Data Retention
We retain enrollment records for the duration of your program and for a period of five (5) years thereafter, to support certificate re-issuance, alumni verification and statutory record-keeping requirements. After this period, records are securely deleted or irreversibly anonymised. Records for enrollments that are never completed or verified are deleted within twelve (12) months.
7. Security Measures
We apply organisational, physical and technical safeguards proportionate to the sensitivity of the data we hold:
- Data is transmitted over encrypted HTTPS connections and stored in an encrypted database.
- Enrollment records are not publicly readable. The website cannot read, edit or delete records; submissions are written only through a restricted server-side process.
- Access is granted on a strict need-to-know basis to authorised admissions personnel.
- We review access, credentials and retention practices regularly.
In the event of a personal data breach that poses a real risk of serious harm, we will notify the National Privacy Commission and affected data subjects within seventy-two (72) hours of knowledge, as required by law.
8. Your Rights as a Data Subject
Under RA 10173 you have the right to:
- Be informed — know whether your personal data is being processed, and for what purpose.
- Access — request a copy of the personal data we hold about you.
- Correction (rectification) — have inaccurate or outdated data corrected without delay.
- Erasure or blocking — request removal or blocking of data that is unlawfully obtained, no longer necessary, or processed beyond its declared purpose.
- Object — withhold consent or object to further processing, subject to obligations we must still meet by law or contract.
- Data portability — obtain your data in a commonly used electronic format.
- Damages — be indemnified for damages sustained due to inaccurate, incomplete, unlawfully obtained or unauthorised use of your personal data.
- Lodge a complaint — file a complaint with the National Privacy Commission.

9. Withdrawing Consent
You may withdraw your consent at any time. Note that withdrawing consent before your program concludes may prevent us from processing your enrollment, issuing your certificate, or providing continued access to your program.
10. Changes to This Policy
We may update this policy to reflect changes in our practices or in the law. Material changes will be announced on this page and, where appropriate, communicated by email.
